FERPA Education Data Addendum
Overview
DashboardFox supports educational institutions that need to report on student data while maintaining compliance with the Family Educational Rights and Privacy Act (FERPA). For eligible institutions, we offer a FERPA Education Data Addendum on request.
What is FERPA?
The Family Educational Rights and Privacy Act (FERPA) is a US federal law that protects the privacy of student education records. It applies to educational agencies and institutions that receive funding from the US Department of Education — including most public schools, school districts, and colleges and universities.
Under FERPA, educational institutions may disclose education records to service providers acting as "school officials" with a "legitimate educational interest," provided those service providers are under direct control of the institution with respect to the use and maintenance of the records, and are subject to appropriate data use restrictions.
Who needs the addendum?
You need the FERPA Education Data Addendum if you are an educational institution subject to FERPA and you intend to connect data containing student education records to DashboardFox. Common examples include:
- K-12 schools or districts reporting on student enrollment, attendance, or academic performance data
- Colleges and universities analyzing student records for institutional reporting
- Educational technology companies embedding DashboardFox to report on data that includes student education records on behalf of an institution
If you are unsure whether your use case requires the addendum, consult your institution's legal or compliance counsel. As a general rule: if the data you are connecting to DashboardFox includes personally identifiable information from student education records, the addendum is required.
Our approach to education data
DashboardFox's architecture is well-suited to the requirements of FERPA-compliant deployments:
- Isolated workspaces — every customer workspace runs in a dedicated, isolated database. Student records in one workspace are fully segregated from all other customers.
- No data mining or secondary use — DashboardFox does not use Customer Data for any purpose other than providing the Service. Student data is never used for advertising, profiling, or any purpose beyond what the institution directs.
- Encryption — data is encrypted at rest (AES-256) and in transit (TLS 1.2+).
- Access controls and audit logging — role-based access controls and in-app audit logs help institutions maintain oversight of who accesses student data.
- Deletion on termination — education records are deleted in accordance with our standard data deletion process upon workspace or account termination.
How to request the addendum
Email team@dashboardfox.com with the subject line "FERPA Addendum Request" and include:
- Your institution name and DashboardFox account email
- A brief description of the student data you intend to report on within DashboardFox
We will review your request and respond within 2 business days. The FERPA Education Data Addendum is available to customers on any paid plan.
